Lease Preparation
VHS Property Management will provide and handle getting all the leasing documents signed with the new tenant. We use the standard Virginia Association of Realtors Lease with added addendums. The first Addendum tightens accountability and adds additional criteria to further protect you, the property owner. For example, insurance, handling of smoke detectors, instances of power outage, pets and more. The Second, Security Deposit Addendum, is added to remind tenants of their responsibilities upon move-out.

Marketing
We market your property through our local Multiple Listing Service which feeds out to many top real estate sites on the web. In addition, we cooperate with other Realtors to rent your home at no extra charge to you. This means we have access to even more agents to get your property rented fast. We also offer Property Showings that include the use of special lockboxes on vacant homes that allow potential renters timely access to view the property 7 days a week which leads to faster occupancy.

Pet Screening
We use PetScreening.com™ to help manage renters’ pets and assistance animals which allows us to offer our owners an additional layer of liability protection and a standardized, legally compliant process for dealing with household pets and assistance animals.

Property Evaluation
When you are ready to rent your property, we will prepare a market analysis to determine the best price for your home. We have a meticulous method for determining the value of your home. Our analyses are seasonal and on demand. We compare similar properties that have rented in the past and depending on the time of year, prices may be adjusted accordingly. We also factor in the number of current rentals available in a given area. Our goal is always to get top dollar for your rental property and to attract the best tenants.

Inspections
Regular inspections help to identify potential problems with your property and ensure that the tenant is in compliance with all lease terms. We will conduct move in and move out inspections and we will coordinate any maintenance or repair word orders. Move out inspections are completed within 72 hours of the move out date and tenants will be notified.

Security Deposit
For your protection and full legal compliance, all tenant security deposits are held by VHS Property Management in a separate, federally regulated escrow account —never co-mingled with operating funds. This ensures that deposits are properly safeguarded and available for return or deductions in accordance with Virginia landlordtenant laws. We handle all aspects of deposit management, including collection, documentation, and disbursement at move-out, along with detailed accounting and clear communication with both owners and tenants.

Tenant Screening
We use a standard rental application process and we screen tenants using a scoring matrix with the minimum being 12 points. There are several categories within our system that allow for point scoring and the total points are tallied at the end. This method allows us to use several factors to determine eligibility, and provides a more inclusive rental application process. Cosigners are also welcome however, certain factors such as past rental debts and evictions result in an automatic denial of the application.

Lease Enforcement & Evictions

When needed, we will coordinate the process for any garnishments or warrants in debt with the local civil court.
